The Events Coordinator will ensure the logistical needs of our workshops are met at all of our learning events each year.  The ideal candidate will possess an exceptional ability to coordinate all of the logistics and serve as an internal contact for the coordination of events.     


Workshop Coordination

  • Coordinate materials production for over 90+ international workshops per year including:
  • Print named materials, including name badges, name tents, certificates and participant lists
    • Prepare manuals, handouts, evaluations and other materials for production and coordinate order with international printers
    • Pack/ship workshop materials to venues or trainers
  • Update registration event database for schedule of assigned workshops and review other events for quality control
  • Coordinate other logistics as needed, including
    • Communicate with venues or trainers on logistics
    • Process invoices
    • Input evaluations after the workshop
    • Provide administrative support to events or program staff
  • Maintain vendor list and source reliable printers internationally;
  • Develop and maintain internal organizational tools including production deadlines tracking
  • Ensure adequate supply of event materials, conduct regular inventory of meeting supplies and order supplies for events;
  • Provide support to Events Manager and other Events Coordinator as needed


Annual Conference

  • Assist with Annual Member Conference support as needed by all areas of the organization, including materials production, vendor management and logistical assistance;


On-site support for DC-based events

  • Pack materials and coordinate delivery to venue;
  • Set-up training room prior to event;
  • Oversee the coordination of all domestic event logistics: venue requirements, catering, and ensure needed workshop supplies are at site;
  • Support on-site registration; 
  • Attend events as necessary
  • Break down and clean-up events as necessary


Office Administration

  • Answer Humentum’s main phone line as needed;
  • Assist with mail services, including receiving packages and outgoing mail
  • Other duties as assigned.


Qualifications and Desired Experience

  • Bachelor’s degree
  • Experience with accurate data entry; Salesforce experience a plus;
  • Experience in events and/or international development a plus;
  • Experience with Microsoft Office applications and Internet-based research
