About the OGP Global Summit: Together with the Open Government Partnership (OGP), the Government of Canada is hosting the 6th OGP Global Summit in Ottawa, Canada, from May 29-31, 2019. OGP Global Summits bring together upwards of 2,000 participants from local and regional governments, civil society groups, academia, and beyond to share knowledge and collectively create solutions for more open and transparent governments around the globe.

Description of Consultancy: The consultant will help coordinate the 6th OGP Global Summit to be held in Ottawa, Canada from May 29-31, 2019. The consultant will be primarily responsible for managing priorities, timelines, and processes within the OGP Support Unit and between OGP and the host country. The consultant is expected to be based in Washington, DC.

The term of Consultancy: ASAP - June 21, 2019; 5 days a week, based in Washington, DC.

The consultant will be primarily responsible for managing priorities, timelines, and processes within the OGP Support Unit and between OGP and the host country. The consultant is expected to be based in Washington, DC.

The term of Consultancy: ASAP - June 21, 2019; 5 days a week, based in Washington, DC.

Responsibilities

Deliverables: The consultant will perform the following tasks and deliverables, specifically related to internal and external coordination around OGP Global Summit priorities, timelines, and processes:

Communicate and coordinate within the Support Unit (SU) and between the SU and host government teams to track, communicate, and lead on overall OGP Global Summit management and deliverables on a range of issues including agenda development, participant communications, and event logistics and protocol

  • Organize and attend internal and external planning meetings and calls; Draft agendas, circulate minutes, and follow up on next steps
  • Support the development and tracking of OGP Global Summit strategic objectives with internal senior management and the planning team
  • Liaise with the SU and host government teams to coordinate event logistics and ensure that the venue and production will sufficiently and smoothly support the agenda
  • Support the team and agenda consultant in the agenda-building processing, including the public call for session proposals, review process, and liaising with session organizers to ensure quality and balanced sessions at the OGP Global Summit
  • Support the management of other OGP Global Summit event consultants
  • Travel to Ottawa for summit logistical planning, as requested, at least one planning trip in February or March 2019, and another from approximately May 20-31, 2019 to support management and logistical needs of the Summit; the OGP Secretariat will be responsible for additional costs associated with travel and accommodations
  • Lead on post-event follow up with organizers and participants, including a survey and evaluation process 

Requirements

  • Relevant experience in non-profit event management, ideally with a range of actors, including peers, governments, civil society, and vendors
  • Ability to manage projects, with strong attention to detail and cross-team collaboration, including sharing information to update both on progress and setbacks
  • Excellent written and verbal communication skills required
  • Ability to thrive in a multi-cultural, multi-lingual, often “virtual” team setting with colleagues based around the world
  • Ability to work flexible hours to accommodate time zone differences and to ensure the success of the 6th OGP Global Summit.

Flexibility to travel to Ottawa, Canada for 1-2 weeks of planning meetings between February and April, as well as 2-3 weeks before and during the OGP Global Summit in May 2019 

Work Environment

  • The consultant is expected to be based in Washington, DC
  • The selected individual must have the legal authorization to work in the United States.
  • Compensation commensurate with requirements and experience
